0:01 Alright, let's get stuck into the business profile settings. So all I've done, I mean you should have figured this out already, but literally all I've done is come from the home page and I've gone down into settings and all I'm going to be going through here is literally just straight down the list setting.
0:16 Up business profile, my profile, company billing, my staff. I don't think that you'll have opportunities and pipelines available. This is like a bit of a master access login that I've got here.
0:26 Yeah, pretty much down the list. So this is just setting up the very basics so that BrokerOS is functional and then in subsequent videos after this article you'll see just almost like the essentials.
0:36 So how to set up the calendar and how to set up the other bits and pieces. But in the order to use anything else I'd really recommend that you start here and set up the business profile, set up your profile, set up company billing.
0:46 This is just like the absolute basics and it should not take you longer than I'm hoping an hour to an hour and a half to set this up.
0:53 If you're struggling and you don't want to do it then we can do it for you just you know because you might understand by now that your time is best served doing it which is talking to clients, building relationships, talking to network partners and professional referrers rather than getting stuck into.
1:08 The back end of a system. If it's not your space that's totally fine. But let's go through business profile settings.
1:13 So the first thing that you're going to want to do and I'm actually going to go down the left hand column and then down the right hand column. But the first thing that you're going to want to do is upload your logo.
1:22 So the recommended size is 350 by 180. I think this actually is or maybe it's a bit wider. But this is ours.
1:28 So this is literally Voyage Financials, my business. This is our BrokerOS in the background. Upload your logo there. Ideally make it that size specifically.
1:40 Next on down, your friendly business name. So we want to set this up according to how you want to be shown or displayed.
1:47 Some of the automations that I've already set up that I'll be explaining later. So when you log in you'll see, if you go to automations, you'll see you've got some bits and pieces already set up.
1:56 At the end of that is quite a, I've included what's called a merge tag, and that merge tag is going to pull in whatever is listed here.
2:05 So that the merge tag, literally the tag is location name. The location name is this name here, and that's literally what your company is known as to your clients and your market.
2:15 So for us it's Voyage Financial. Change it to whatever it is, but just to give you an example, at the end of our at the end of all of our SMS's there is that merge tag which just says like you know, hey your appointment is booked for this and this time, really looking forward to talking to you.
2:30 And then there's the merge tag which is the location name which says this, so it says Voyage Financial. It might be hey your appointment starts in 15 minutes, Voyage Financial.
2:39 And that's all automatically pulled in from this friendly business name. So this is just your consumer facing, your consumer facing name.
2:46 Further on down, you need to put in your legal business name. Now this is really, really important especially if you're wanting to set up phone numbers which I'd highly recommend you do.
2:54 I'll explain this later as well but Australia has quite strict laws with regards to setting up phone numbers and having them properly registered.
2:59 And we can set them up through BrokerOS but it needs to be done, it needs to be done and they will check the legal entity.
3:06 So make sure that your legal entity is listed there. This is ours. You can put your business email in here.
3:11 I don't know why we haven't actually done that already. Let me put that in for us now. So this can be a landline, it can be a primary, a primary like you know the current number that you're using, whatever.
3:25 Branded domain you can actually just ignore for the time being. If that's required later I'll explain how to set that up.
3:31 Business website you can put in, business niche you can put mortgage broker and then just make sure you click update.
3:37 You may have an API. API key that you can generate here. This will be important later on if you're looking to integrate this with your broker engine or MyCRM or Mercury or whatever aggregator software that you're using or sales tracker possibly.
3:52 So generate that but yeah we won't be using that right now. Further on down business information so just add what you are.
4:01 So most of us are going to be running some sort of sole proprietorship or limited liability. I mean none of us are cooperatives or a corporation or a partnership probably so almost all of us will be clicking this one here.
4:12 Business industry, financial, none of this is super important but I mean sorry that particular one. That particular spot isn't super important but adding in then your company ACN from ASIC so putting in your ASIC number there, very helpful.
4:25 Business region of operation so this is one of those things that for some reason they don't have Australia. It doesn't really matter if you've got this ticked or unticked but the closest would probably be Asia but you can just ignore it.
4:33 Okay call and voicemail settings. So down here if you choose to set up phone numbers and let's say you've got four or five you can have a default voicemail message for all phone numbers.
4:44 So we don't actually have this set up we've got voicemail set up for each individual number that we've got set up for each of our brokers but you can if you want just upload a voicemail for everyone so for all phone numbers that you've got you can upload here the way that I'd recommend like.
4:59 An mp3 file the way that I'd recommend recording that mp3 file is literally just going mp3 recording the first one that comes up is online voice recorder this is all in Indonesian because that's where I currently am I will put this link in the description the article so that you've got it there and.
5:16 Then you just upload that, click save you know, hey this is Alex from Voyage Financial sorry we missed your call, we'll get back to you as soon as we can whatever, ok so business physical address, this is also really important to make sure that this is accurate according to what is recorded at ASIC so.
5:30 Even if you're, even if where you're operating from is different, it's important that you put in what's, what is correct according to ASIC if you're wanting to set up phone numbers because this will be checked by ASIC to ensure that this accurate because there are laws and regulations in Australia surrounding.
5:45 The registration of phone numbers so ASIC will be checked, we need to make sure that this address matches what's on your ASIC register and I'll show you where to put your ASIC address.
5:53 ASIC register in the phone number, but in the phone numbers section, just make sure that this is all accurately filled out, time zone obviously, platform language is English US, but then the outbound communication is English Australia, I don't know why there's that difference or even how English Australia.
6:07 Like obviously we use sort of UK English but just make sure that you've got these two set up and then hit update, authorised representative is probably going to be you, for us it's David because he's our primary broker, we've just got his details in here, director, phone number, etc and you.
6:21 Can hit update, all of this you can pretty much ignore, so we don't want to allow a duplicate opportunity, basically just ignore all of this, ah you can just leave them all unticked you can so these you can choose to tick or untick as you want, we'd recommend just keeping them ticked, keep this toggled.
6:39 Off, and then if you're wanting to, so if you're the sort of, if you're getting, if you're using the phone number, so if you're using a phone number that's set up inside the system, which all of our brokers do, then and if someone has called in, and you're on the phone to someone already, and there's.
6:55 A, you know they can't, you can't pick up, what you can actually do is enable this missed call back. So, if someone calls and you don't pick up, you can enable this, and this will automatically send an SMS to the person who's called, saying hey, just saw that we missed your call, how can I help? If there.
7:10 Is and you can edit this however you like, you can then send a test, so you can put your mobile number in and just test to see what this SMS looks like, if it's someone already in your system, the system, like if it's already someone who's registered as a contact in BrokerOS, the system will pick that.
7:24 Up, and if you ever see this little tag here, these are the merge tags. So you can add whatever these tags are, you can add any of these, any of these ah these tags in at all, so you can put hi, so and so, so hi, contact first name, sorry I missed your call, just like I'll give you a call back in 10 or 15.
7:42 Minutes, or whatever you want to say. We actually have this unticked, for personal reasons internally, but that is
